While the ‘money side’ can feel intimidating at first, setting a few simple habits early on can make everything feel more manageable.

Good financial habits help you stay organised, protect your cash flow, reduce stress and give your business the best chance of long-term success.

Here are 5 essential habits every new business owner should build:

1. Start with a realistic budget

A budget is a plan that helps you understand what’s coming in, what’s going out and how much you need in the bank to keep the business running.

 

A clear, simple budget helps you:

  • Predict upcoming expenses
  • Plan for quieter months/seasonal dips
  • Know how much you can reinvest
  • Avoid surprise shortfalls

 

For new founders, keep your budget straightforward. Start with:

  • Expected monthly income (even if estimated)
  • Fixed costs (rent, software subscriptions, insurance)
  • Variable costs (materials, travel, marketing)
  • A small contingency for emergencies

You’ll adjust it as you go, which is normal. The habit of reviewing it each month is what’s important.

2. Track your expenses

Yes, every single spend. This is one of the best habits that separates organised business owners from stressed ones.

 

Tracking expenses:

  • Helps you stay within budget
  • Makes tax returns much easier
  • Highlights unnecessary spending to cut costs
  • Gives visibility over real business spending

  • Protects your personal finances (especially important for a limited company)
  • Simplifies things for your accountant

 

Separation is essential for both clarity and compliance and is essential for running a successful business.

4. Review your cash flow regularly

Cash flow is the heart of your business. Even highly profitable businesses can struggle if cash isn’t coming in at the right time.

 

Make it a habit to review cash flow:

  • Weekly (if you’re busy or seasonal)
  • Monthly (as a standard routine)

 

Look at:

  • Incoming payments
  • Outstanding invoices
  • Expected slow periods
  • Large upcoming expenses
  • Whether you’re consistently cash-positive

 

If you spot patterns early, for example clients frequently paying late or seasonable dips, you can take action before it becomes a problem.

This might look like shortening payment terms or planning a marketing push before a dry spell.

5. Don’t forget tax planning, especially if you’re a limited company

Tax can feel like a dark cloud for new business owners but good habits make it far less stressful.

 

If you’re running a limited company, you’ll need to plan ahead for:

  • Corporation tax (charged on taxable profits)
  • Director’s salary vs dividends – Directors must also complete a Self Assessment tax return if they receive dividends or a salary
  • Allowable expenses
  • Record-keeping requirements – keep records for at least 6 years
  • Year-end accounts
  • VAT returns (if registered)

 

Even if you’re a sole trader, tax planning is still crucial, especially setting aside a portion of your income each month so you’re not caught off guard on tax return season!
